These Booking Conditions govern all travel experience reservations made through Aurora & Locals, operated by Premier Tours ehf. (Kennitala: 4612231680, VAT: 151515), licensed by the Icelandic Tourist Board (License ID: 461223-1680).

By making a booking, you agree to these conditions in full. Please read them carefully before completing your reservation.

Introduction

These Booking Conditions govern all travel experience reservations made through Aurora & Locals, operated by Premier Tours ehf. (Kennitala: 4612231680, VAT: 151515), licensed by the Icelandic Tourist Board (License ID: 461223-1680).

By making a booking, you agree to these conditions in full. Please read them carefully before completing your reservation.

These conditions should be read alongside our:

  • Terms of Service

1. How Bookings Work

1.1. The Booking Process

  1. Browse — Select an experience on our platform

  2. Choose — Select your preferred date, time, group size, and any options

  3. Review — Check all details, pricing, and the specific experience conditions

  4. Pay — Complete payment securely through our checkout

  5. Confirm — Receive a booking confirmation email with your reference number

1.2. When Is My Booking Confirmed?

Your booking is confirmed only when:

  • Payment has been successfully processed

  • You receive a confirmation email from Aurora & Locals with a unique booking reference number

A booking is not confirmed by:

  • Adding an experience to your cart

  • Submitting a booking request (for request-based experiences)

  • Receiving an automated payment receipt from your bank

1.3. Booking on Behalf of Others

If you book for other people:

  • You confirm you have their authorisation to make the booking

  • You accept these Booking Conditions on their behalf

  • You are responsible for communicating all relevant information to them

  • You are the primary contact for all communications regarding the booking

2. Who Can Book

To make a booking on Aurora & Locals, you must:

  • Be at least 18 years of age

  • Have legal capacity to enter a binding contract

  • Provide accurate, complete, and truthful personal information

  • Have a valid payment method

  • Accept these Booking Conditions, our Terms of Service, and Privacy Policy

Guests under 18 may participate in experiences but must be accompanied by a responsible adult who made the booking (unless the experience explicitly allows unaccompanied minors).

3. What You're Booking

3.1. Direct Experiences

Some experiences are operated directly by Aurora & Locals (Premier Tours ehf.). For these:

  • Your contract is directly with Premier Tours ehf.

  • We are fully responsible for delivery, safety, and quality

  • Our full Terms of Service apply

3.2. Partner-Hosted Experiences

Many experiences on our platform are operated by independent, verified local hosts ("Partners"). For these:

  • Aurora & Locals acts as a booking intermediary

  • The contract for the experience is between you and the host

  • The host is responsible for delivering the experience safely and as described

  • Aurora & Locals facilitates the booking, handles payment, and provides customer support

  • Additional host-specific terms may apply (displayed on the listing before booking)

3.3. What's Included

Every listing clearly states what is and isn't included. Typically:

Included (unless stated otherwise):

  • The experience itself (guiding, transport to/from activity locations, equipment)

  • Any food, drink, or amenities specifically mentioned in the listing

  • VAT and applicable taxes

Not included (unless stated otherwise):

  • Transport to/from your accommodation to the meeting point

  • Personal travel insurance

  • Meals not specifically mentioned

  • Gratuities

  • Personal equipment (warm clothing, cameras, etc.)

  • Accommodation (unless part of a multi-day package)

Always check the listing's "What's Included" and "What to Bring" sections before booking.

4. Pricing & Payment

4.1. Pricing

  • All prices are displayed in Icelandic Króna (ISK) as the base currency

  • Prices may also be shown in EUR, USD, or GBP for your convenience (converted at the daily exchange rate)

  • All displayed prices include VAT (where applicable)

  • Prices are per person unless clearly stated otherwise (e.g., "per group" or "per vehicle")

4.2. Price Guarantee

Once your booking is confirmed, the price is locked. We will never charge you more after confirmation — even if the host raises their price.

4.3. Payment Methods

We accept:

  • Visa

  • Mastercard

  • American Express

  • Apple Pay

  • Google Pay

  • Bank transfer (for group/corporate bookings only, by arrangement)

4.4. Payment Timing

4.5. Failed Payments

If your payment fails:

  • Your booking is not confirmed

  • We will notify you by email

  • You may retry with the same or different payment method within 24 hours

  • After 24 hours, your selected slot may no longer be available

4.6. Currency & Exchange Rates

  • You are charged in the currency shown at checkout

  • Exchange rate fluctuations between booking and statement may cause minor differences — this is determined by your bank, not by Aurora & Locals

  • We do not compensate for exchange rate differences

5. Booking Confirmation & Voucher

5.1. Confirmation Email

After successful payment, you will receive:

  • Booking reference number

  • Experience name, date, and time

  • Meeting point address and directions

  • Host name and contact information

  • What to bring / what's included

  • Cancellation terms specific to your booking

  • Your booking voucher (digital)

5.2. Voucher

  • Your booking voucher is your proof of purchase

  • Present it (digitally or printed) at your experience meeting point

  • The voucher is non-transferable (unless you contact us to change the guest name)

5.3. Check Your Confirmation

Please review your confirmation carefully. If any details are incorrect (date, time, number of guests, special requirements), contact us within 24 hours of receiving your confirmation.

6. Before Your Experience

6.1. What You Need to Prepare

  • Arrive on time — At the meeting point, at the time stated in your confirmation

  • Dress appropriately — Iceland's weather is extreme. Follow the "What to Bring" guidance in your listing

  • Bring your voucher — Digital or printed

  • Bring valid ID — Especially for experiences with age restrictions or alcohol

  • Disclose requirements — Medical conditions, dietary needs, mobility limitations must be communicated before arrival

6.2. Pre-Experience Communications

  • Your host may contact you 24–48 hours before the experience with updates (meeting point changes, weather advisory, what to expect)

  • Check your email and platform messages regularly in the days before your experience

  • If you cannot be reached and miss critical updates, Aurora & Locals is not responsible

6.3. Late Arrivals

  • Hosts will wait a maximum of 15 minutes past the scheduled start time

  • After 15 minutes, the host may proceed without you or cancel your participation

  • Late arrivals that result in missed experiences are treated as no-shows — no refund

  • If you know you'll be late, contact the host or Aurora & Locals immediately — we'll do our best to accommodate

7. During Your Experience

7.1. Your Safety

  • Follow all instructions from your host or guide at all times

  • Inform the host immediately if you feel unwell, unsafe, or uncomfortable

  • Iceland's environment is beautiful but dangerous — respect the landscape

  • Do not venture away from the group without the host's knowledge

  • Alcohol or drug impairment that endangers yourself or others will result in removal

7.2. Behaviour

You must:

  • Treat your host, guides, and fellow guests with respect

  • Follow the instructions and safety protocols of your host

  • Respect the natural environment (leave no trace)

  • Not damage property, equipment, or vehicles

  • Not engage in illegal activity during the experience

7.3. Removal from an Experience

Your host reserves the right to remove you from an experience if:

  • Your behaviour endangers yourself or others

  • You are under the influence of alcohol or drugs to an unsafe degree

  • You refuse to follow safety instructions

  • You harass or abuse the host, staff, or other guests

  • You damage property or the environment

No refund will be issued if you are removed for any of the above reasons.

7.4. Photography & Media

  • You are generally welcome to photograph and film during experiences (for personal use)

  • Some experiences may have restrictions (e.g., cultural sites, private property) — your host will advise

  • If you wish to use footage commercially, obtain written consent from the host

  • By participating, you consent to appear in background photos/videos that the host may use for marketing (unless you opt out verbally before the experience begins)

8. Weather & Natural Conditions

8.1. Iceland's Reality

Iceland's weather changes rapidly. Conditions that were safe in the morning may become dangerous by evening. Our hosts are trained to adapt.

8.2. Weather Modifications

Your host may modify an experience due to weather, including:

  • Changing the route or destination

  • Shortening or extending the duration

  • Substituting activities (e.g., glacier hike replaced with ice cave due to wind)

  • Changing the departure time

These modifications are made for your safety and to deliver the best possible experience under the conditions. No refund is issued for weather-modified experiences — your host is adapting, not cancelling.

8.3. Weather Cancellations

If conditions make the experience genuinely unsafe (storms, road closures, zero visibility), your host will cancel and you receive a full refund or free rebooking (see Cancellation Policy).

8.4. The Aurora

The northern lights are a natural phenomenon. Sightings cannot be guaranteed. If your aurora experience proceeds but the lights do not appear due to cloud cover, low solar activity, or any natural reason:

  • The experience was delivered (guiding, transport, locations, expertise)

  • No refund is available for non-visible aurora

  • Many hosts offer a second-chance rebooking at a reduced rate or free — check your listing

9. Special Requirements

9.1. Accessibility

If you have mobility limitations, sensory impairments, or other accessibility needs:

  • Review the accessibility information on the listing before booking

  • Contact us with your requirements before booking — we will confirm with the host

  • We will do our best to match you with suitable experiences

  • See our full Accessibility Policy for more information

9.2. Dietary Requirements

If your experience includes food or drink:

  • Disclose allergies and dietary needs at the time of booking (in the "Special Requirements" field)

  • Hosts will accommodate where possible — but cannot guarantee in all cases

  • Life-threatening allergies must be communicated clearly; carry your own medication (e.g., EpiPen)

9.3. Medical Conditions

  • Disclose any medical condition that may affect your participation

  • Carry personal medication with you

  • If your condition may require emergency assistance, inform the host before departure

  • Some physically demanding experiences require a minimum fitness level — this will be stated in the listing

9.4. Pregnancy

  • Some experiences are not suitable during pregnancy (e.g., snowmobiling, horseback riding, high-speed boat tours)

  • Check the listing for pregnancy advisories

  • If in doubt, contact us before booking

9.5. Children

  • Minimum age requirements are stated on each listing

  • Children must be accompanied by a responsible adult at all times

  • Child pricing (where offered) is stated in the listing

  • Car seats / booster seats — inform us at booking if required for transport-based experiences

10. Liability

10.1. Aurora & Locals' Role

  • For direct experiences: Premier Tours ehf. is fully responsible for delivery and safety

  • For partner-hosted experiences: Aurora & Locals acts as an intermediary. The host is responsible for delivery and safety. We facilitate booking, payment, and support.

10.2. Limitation of Liability

Aurora & Locals' liability is limited to the total amount paid for the booking in question. We are not liable for:

  • Indirect or consequential losses (missed flights, lost holiday time, alternative travel costs)

  • Loss of or damage to personal property during experiences

  • Injury resulting from failure to follow guide/host instructions

  • Events caused by force majeure or acts of nature

  • Actions or omissions of third-party partners beyond our reasonable control

10.3. Host Liability

All hosts on our platform hold valid liability insurance as required by their operating jurisdiction. In the event of injury or loss caused by host negligence, the host's insurance applies.

10.4. Your Responsibility

You accept that:

  • Iceland's natural environment carries inherent risks

  • Outdoor activities involve elements of unpredictability

  • You participate at your own risk (to the extent permitted by law)

  • You are responsible for your own fitness to participate

  • You must follow all safety instructions given by your host

11. Travel Insurance

We strongly recommend comprehensive travel insurance for all travellers.

Your insurance should cover:

  • Trip cancellation and interruption

  • Medical emergencies and evacuation (especially for remote/outdoor activities)

  • Personal belongings and equipment

  • Flight delays and missed connections

  • Extreme weather disruptions

  • Search and rescue (strongly recommended for Iceland — this is not always free)

Aurora & Locals' cancellation and refund policies are not a substitute for travel insurance.

12. Changes to Your Booking

12.1. Guest-Requested Changes

12.2. Changes by Aurora & Locals or the Host

If we or the host need to make changes to your confirmed booking:

  • Minor changes (e.g., 30-minute time shift, meeting point adjustment): We notify you; no compensation

  • Significant changes (e.g., date change, major itinerary alteration, host substitution): We notify you and offer a full refund or alternative

13. Communication & Notifications

13.1. How We Communicate

All booking-related communications are sent via:

  • Email (primary)

  • Platform messages (in your Aurora & Locals account)

  • SMS (for urgent updates, e.g., same-day weather cancellations)

13.2. Your Responsibility

  • Ensure your contact details are correct and up to date

  • Check your email regularly, especially in the 48 hours before your experience

  • Check spam/junk folders — booking confirmations occasionally land there

  • If you do not receive a confirmation within 1 hour of booking, contact us immediately

14. Gift Vouchers & Credits

14.1. Gift Vouchers

  • Gift vouchers can be purchased on our website

  • Valid for 12 months from the date of purchase

  • Redeemable against any experience on the platform

  • Non-refundable and non-exchangeable for cash

  • Cannot be extended once expired

  • If the experience costs more than the voucher value, you pay the difference at checkout

14.2. Account Credits

  • Credits issued (from cancellations, compensation, or promotions) are valid for 12 months

  • Non-transferable between accounts

  • Cannot be converted to cash

  • Can be combined with other payment methods

15. Reviews & Feedback

15.1. Leaving a Review

After your experience, you will receive an invitation to leave a review. Reviews must:

  • Be honest and based on your genuine experience

  • Not contain hate speech, discrimination, or profanity

  • Not include personal information about the host or other guests

  • Not be incentivised or solicited by the host (report this if it happens)

15.2. Our Use of Reviews

Reviews are published on the experience listing. We may also use anonymised review quotes in marketing materials. We do not edit reviews — but we may remove content that violates our community guidelines.

16. Intellectual Property

  • All content on Aurora & Locals (text, images, design, branding) is owned by Premier Tours ehf.

  • You may not copy, reproduce, or distribute any content without written permission

  • Experience photos shared with you by hosts are for personal use only unless otherwise agreed

17. Governing Law & Disputes

17.1. Applicable Law

These Booking Conditions are governed by Icelandic law, including the Act on Package Travel and Linked Travel Arrangements (No. 95/2018).

17.2. Dispute Resolution

  • We aim to resolve all complaints within 14 days

  • Complaints must be submitted in writing within 14 days of your experience

  • If unresolved, disputes are submitted to the District Court of Reykjavík, Iceland

  • EU residents may use the European Online Dispute Resolution platform: https://ec.europa.eu/consumers/odr

18. Package Travel Regulations

Where your booking constitutes a "package" under the Icelandic Act on Package Travel and Linked Travel Arrangements (No. 95/2018):

  • Premier Tours ehf. is the package organiser

  • You are entitled to the protections under the Act, including:

    • Right to transfer your booking to another person

    • Right to cancel with appropriate compensation

    • Responsibility of the organiser for proper performance

    • Assistance in cases of difficulty

    • Insolvency protection

For single experiences that do not constitute a package, these additional protections may not apply.

19. Insolvency Protection

As a licensed travel operator (Icelandic Tourist Board License: 461223-1680), Premier Tours ehf. holds the required insolvency protection/security as mandated by Icelandic law.

In the unlikely event that Aurora & Locals ceases trading:

  • Your confirmed bookings are protected

  • Refunds or alternative arrangements will be provided through the insolvency protection scheme

  • The Icelandic Tourist Board (Ferðamálastofa) oversees this process
